These Terms govern the use of the Service. Your personal data will be processed in accordance with the Privacy Policy. By accepting the Terms, the Privacy Policy and confirming your email address, you become a User and get access to the Service.
UAB Gigsis, a private limited company registered and operating in accordance with the laws of the Republic of Lithuania, legal entity ID number 304825960, having its registered office at Veiverių g. 9B-62, LT-11346 Vilnius, Lithuania, email address hello@flanco.com, will be your personal data controller.
Personal data is any information collected by Flanco about a natural person and used to identify that person. Personal data includes, among other things, the person’s first name, last name, address, images and IP address.
In this section, we will inform you of the purposes, for which Flanco processes your personal data, but would firstly like to draw your attention to the following:
If you use Flanco’s office resource reservation service and are assigned the user rights, Flanco will not be your personal data controller but only a data processor, by whom your personal data will be processed upon instructions from your employer (for more information, see section 5 below) except in the case when you refer to Flanco’s customer service (see sub-section 4.2.2 below).
If, when using Flanco’s office resource reservation service, you have the administrator rights, Flanco will be processing some of your personal data (for more information, see sub-section 4.2.1 and sub-section 4.2.2 below) and you will be subject to the provisions of this Privacy Policy.
For concluding and performing service contracts
If you represent Flanco’s customer (a legal person who uses Flanco’s office resource reservation service) and have the administrator rights, the following personal data will be collected and processed by Flanco for concluding and performing a service contract – your first name, last name, email address, phone number, title. This personal data will be processed on the grounds of the legitimate interest and will be kept for 10 (ten) years after the end of the contract.
For communicating with customers
If you use the services (the office resource reservation service) provided by Flanco and refer any emerging problem or issue to Flanco, your personal data, i.e. your first name, last name, email address, images and other details contained in your request, will be processed by Flanco on the grounds of the legitimate interest seeking to ensure the service quality. Such personal data submitted by you for customer communication/service purposes will be kept throughout the entire communication period and 1 (one) year thereafter.
For concluding and performing contracts by Flanco
Personal data of employees of Flanco’s customers, suppliers or service providers (who are legal persons) and personal data of Flanco’s suppliers or service providers (who are natural persons) will be processed by Flanco for the performance of a contract between Flanco and such person. In that case, the following personal data will be processed: your first name, last name, birth date, phone number, email address, contents of correspondence, date, images and other details relating to the contract performance.
Where personal data of employees of Flanco’s customers, suppliers or service providers is processed, such processing will be made on the grounds of the legitimate interest.
If you provide services or sell goods as a natural person, Flanco will be processing your personal data on the grounds of the performance of a contract.
This personal data processing will continue for as long as the contract runs. Where the said personal data appears in the contract, it will be kept for 10 (ten) years after the end of the contract.
For sending offers to customers
If you are a Flanco’s customer and have not opted out of receiving offers from Flanco, we may offer you some similar goods and/or services of Flanco on the grounds of the legitimate interest, and in other cases – send you letters offering other goods or services of Flanco or any related goods or services of others on the grounds of your consent. To that end, we will process the following personal data: your first name, last name, email address. This personal data processing will continue for 3 (three) years after purchasing Flanco’s services or giving your consent.
You have the right to opt out of receiving such offers at any time by clicking on the link at the bottom of the email letter or by contacting us at the email address given in this Privacy Policy.

Whenever you visit Flanco’s website or use our app, we may download cookies on your device. Platform services and hosting
These services have the purpose of hosting and running key components of this Application, therefore allowing the provision of this Application from within a unified platform. Such platforms provide a wide range of tools to the Owner – e.g. analytics, user registration, commenting, database management, e-commerce, payment processing – that imply the collection and handling of Personal Data. Some of these services work through geographically distributed servers, making it difficult to determine the actual location where the Personal Data are stored.
Webflow (Webflow, Inc.)
Webflow is a platform provided by Webflow, Inc. that allows the Owner to build, run and host this Application. Webflow is highly customizable and can host websites from simple blogs to complex e-commerce platforms.

Should you be notified of having been assigned the user rights to access Flanco’s office resource reservation service or be already using such service, your personal data (your first name, last name, email address, the resource selected, etc.) will be processed by Flanco as a data processor, i.e. in accordance with the instructions received from your employer (Flanco’s customer). Therefore, you may send requests or enquiries regarding your data processing either to us at the email address given in this Privacy Policy or to your employer.
Flanco may disclose your formation to its employees, managers, agents and such service providers as debt administration/collection companies or companies providing marketing/IT services or subcontractors if it is reasonably required for the purposes stated in this Privacy Policy. In addition, we may disclose your information in the following cases:
- if required to do so by law,
- seeking to protect our rights or interests (including the case when your personal data is transferred to others for debt recovery purposes),
- intending to sell part of Flanco’s business/assets and disclosing your personal data to the potential buyer of such business or assets,
- having sold Flanco’s business or a substantial part of Flanco’s assets to others.Your personal data will not be transferred to any third countries and/or international organisations.
We will not transfer your personal data to others except as determined in this Privacy Policy.
The list of recipients (including their categories) contained in this Privacy Policy is subject to change. Therefore, if you wish to be informed of any such change, please let us know by sending us an email at the address given in this Privacy Policy saying that “I wish to be informed of any change of my personal data recipients” and indicate your full name.
Your personal data will be processed in accordance with the General Data Protection Regulation and the Law of the Republic of Lithuania on Legal Protection of Personal Data as well as with other legal requirements. Right to withdraw consent
If you have given us your explicit consent to process your personal data, it may be withdrawn by you at any time.
Right of access to your personal data
In order for you to understand how we use your personal data and to suffer no inconvenience on that account, you may contact us at any time to ask whether any of your personal data is being processed by us. If your personal data is stored or used by us in whatever way, you have the right of access to such data. In order for you to exercise such right, please submit your written request at the address given in this Privacy Policy and confirm your identity. Please observe the principles of reasonableness and good faith when submitting your request.

We hope you understand that it is very difficult to discuss every possibility how personal data may be collected and used. Additional rights
Below, please find information about your additional rights that may be exercised by you in the following way:
a. You have the right to request us to correct any inaccuracy of your personal data. In that case, we may ask you to confirm the information corrected.
b. You have the right to request us to erase your personal data. This right may be implemented in the cases described in Article 17 of the General Data Protection Regulation.
c. You have the right to request us to restrict/refrain from processing your personal data in the following cases:
-during the period needed for us to ascertain whether your personal data is accurate when you file a complaint regarding its accuracy,
-when your personal data collection or storage or usage by us is illegal but you decide not to request such data erasure,
-when we no longer need your personal data, but such data is needed by you to impose or enforce or protect legal demands,
-during the period needed for us to determine whether we have another valid legal basis for further processing of your personal data if you have opted to exercise your right to object to such personal data processing.
d. You have the right to data portability if processing of such data is carried out by automated means and we have obtained such data from you based on your consent or for the purpose of concluding the agreement. If you opt to exercise this right, we will transfer at your request a copy of the data submitted by you.
e. You have the right to object to using your personal data by us:
-when we use such data seeking to implement our legitimate interest, but do not have an overriding legal basis to continue to use your personal data; or
- at any time when we use your personal data for sending newsletters or for direct marketing purposes. In that case, the data will no longer be used for those purposes but may be used for other legitimate purposes.
If you believe that your rights of the data subject have been and/or may be violated, please immediately contact us at the email address given in this Privacy Policy. We assure you that having received your complaint, we will inform you without undue delay, and in no event later than within 1 (one) month, about the progress of our investigation in response to your request regarding the exercise of your rights. The above period may be extended for another 2 (two) months depending on how complicated the request is and how many of such requests have been received. Should that be the case, we will let you know if the period has been extended and for what reasons within 1 (one) month after receiving your request. Flanco may refuse to implement your rights solely in the cases envisaged by law.
If you are not satisfied with our investigation outcome, you may file a complaint with your national data protection authority (a list is available here) or with the State Data Protection Inspectorate as a Lithuanian supervisory authority (www.vdai.lrv.lt).
You are responsible for ensuring that the data provided by you is accurate, correct, and complete. You should immediately notify us by email if changes are made to the data you have submitted. Therefore, we will not be held liable for damage resulting from your failure to provide correct or complete personal data or to give us notice of changes made to such data.
We may update or amend this Privacy Policy at any time. Such updated or amended Privacy Policy will take effect from the date of being published on our website. You should check our website occasionally to make sure that you find the current version of the Privacy Policy acceptable.
Each time our Privacy Policy is updated, we will notify you of all changes that we deem significant by posting them on the website. Whenever you log in to the website after the publication of such notice, you will consent to the new requirements indicated in the update.
