Downloading the App

Please download the app from Google Play or Apple App store following links below:
The app is supported by Android 7.0 or iOS 12.0 and above.

Setup

To use the app for the first time you will be asked to Sign In:
Scenario 1 – Use your email address and password

You will receive an e-mail from noreply@app.flanco.com with a link to verify e-mail. Follow the link provided and create a safe password. Then, using your email and created password fill in the fields.

Scenario 2 – Sign in with Google or Office 365

Select your account type and enter e-mail and your e-mail password (you might be asked to use 2-factor authentication and also enter a code sent via SMS).

Congratulations! You have signed in.
Now you will need to enter missing information: Position, Phone, Photo

Resource booking

There are two types of resources available for booking – DESK (workstation) or ROOM (meeting room). Available resource can be booked in following ways:

Select Book a DESK (workdesk) or Book a ROOM (meeting room).

Scan a QR code of a desired available resource.

Search for a resource on an interactive map.

Check-in

All reservations must be activated.

10min before reservation start a notification will pop-up „Ready to Check-in“.

Press the button "CHECK-IN" and you will redirected to QR scanner. Scan the QR code of the resource you have booked (desk or a meeting room) and your reservation will become Active.

IMPORTANT

Check-in starts 10min before your reservation and is automatically cancelled if you do not check in for 15min after reservation start. Resource becomes available again for reservation.

NB. If you expect to be late, you can delay your reservation for 10min. This option is available for two consequtive events.

Add colleague

When booking a resource you can ask a colleague to join:

Push „Add colleague“ buttom in Red rectangle and select your colleagues you would like to invite to your meeting (Do not forget to add a „Reservation Title“). You can search for them by Name or Surname.

After selecting all attendees, push „Done“ at the top right corner of the screen.

In order to finalise booking – push „Done“ button in blue and your meeting is in order and invitations by e-mail are sent to all the attendees. When it is time to Check-In you, as an organiser of the meeting, will receive a notification for Check-In routine.

IMPORTANT

Check-in starts 10min before your reservation and is automatically cancelled if you did not check in for 15min after reservation start. Resource becomes available again for reservation. Check-In must be completed by the organiser of the meeting. Participant cannot check-in to the meeting.

Transfer & adjustments

When booking a resource you can ask a colleague to join:

If you cannot attend the meeting or you would like to adjust the time, add a colleague, cancel your reservation, etc – you can do that by selecting your reservation and pressing three dots at the top right corner of the page.

You can choose:
Transfer your meeting

You can delegate another colleague to organise the meeting instead of you. Just select a colleague from the list and send an offer to tranfer. Your colleague can Accept or Reject this offer.

Edit your meeting

Change the date or time and other specifics of the meeting, press Done to save changes.

Unbook

Selecting this allows you to cancel your meeting and reservation.

Report issues

Flanco offers a possibility to report an issue you have encountered while at work – printer is out of ink, you need more sticky notes, desk need disinfection, etc.

Find a flag icon at the bottom of the screen.

Just scan the related resource‘s QR code, add any photos if needed and press Submit.

Reported issue is sent to your Office manager and taken care of.

Bug report

If you have encountered a problem or found a bug while using Flanco app, please report it by shaking your phone - feedback with a screen shot is sent to our support and solved as soon as possible.
